Our client in the IT sector based in Port Elizabeth is currently looking to employ an experienced Debtors/Creditors Clerk.

The Debtors/Creditors Clerk will be responsible for maintaining accurate and up-to-date records of the organisation's accounts receivable, accounts payable, sales orders and purchase orders. They will work closely with the Finance Manager to ensure timely and accurate processing of sales orders, purchase orders, sales invoices, supplier invoices payments, and reconciliations, while adhering to the organization's core values of honesty and trust.

  • High school diploma or equivalent.
  • 2+ years of experience in a similar role, preferably in the IT service industry.
  • Strong attention to detail and accuracy.
  • Excellent organisational and time management skills.
  • Good communication and interpersonal skills.
  • Knowledge of basic accounting principles and practices.
  • Familiarity with accounting software and systems.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality of sensitive financial information.
  • Adherence to core values of honesty and trust.

Responsibilities and expectations but not limited to:
  • Process orders, invoices, credit notes, and payments accurately and in a timely manner.
  • Reconcile customer and supplier accounts to ensure accuracy and resolve any discrepancies.
  • Follow up on overdue invoices and ensure timely collections from customers.
  • Follow up on overdue orders and ensure timely delivery from suppliers.
  • Respond to customer and supplier queries regarding their accounts.
  • Maintain accurate records of accounts receivable and accounts payable in the organisation's accounting system.
  • Process customer purchase orders against sales orders and ensure that pricing and terms are accurate on the relevant systems.
  • Work closely with the Finance Manager to identify opportunities for process improvement and implement changes as necessary.
  • Ensure compliance with financial regulations and policies.

Performance Metrics
  • Timeliness of Invoice Processing: The target should be to process invoices within a certain timeframe, such as 1-2 days, to ensure timely payments and accurate financial reporting.
  • Accuracy of Payment Processing: The target should be to maintain a high level of accuracy, such as 95% or higher, to prevent errors and ensure vendor satisfaction.
  • Days Sales Outstanding (DSO): The target should be to keep DSO as low as possible, such as 30-45 days, depending on the organization's payment terms.
  • Days Payable Outstanding (DPO): The target should be to keep DPO as high as possible, such as 30-60 days, depending on the organization's payment terms.
  • Reconciliation Accuracy: The target should be to maintain a high level of accuracy, such as 95% or higher, to ensure accurate financial reporting and prevent discrepancies.
  • Updating internal systems and teams on delivery status of equipment and purchases.
