Team Assistant
Role Purpose
To provide highly efficient administrative assistance to the Head of Office and Office Manager and supplementary support across the Advisory teams.
This is an excellent opportunity for an administrator with a keen eye for detail looking for a role where their contribution is integral to the success of the team, with opportunities to become involved with the business outside of their core responsibilities.
This role is to work in conjunction with the team of Assistants located in Leeds and across the rest of the Northern Business which includes offices in Leeds, Manchester and Liverpool providing mutual support in an environment where working together is essential.
Key Responsibilities
-Producing minutes of meetings.
-Producing regular monthly reports using pre-agreed templates including using initiative to collate data supporting the Leeds office head.
-Supplementary support for holiday or sick leave cover where other team assistants are not available or where workloads dictate.
-Use of Excel to collate financial information and produce reports on behalf of the office head.
-Use Peoplesoft (CBRE's finance system) to raise invoices, code/process external supplier invoices, register new projects.
-Use of MyBuy (CBRE's procurement system) to set up new suppliers and process supplier invoices.
-Carry out Anti-money laundering checks for new clients and assist the team with compliance and risk management
-Assist with bad debt tracking and recovery coordination with the help of the credit control team
-Monitoring, maintaining and uploading information in internal databases; i.e. Salesforce/Client IQ, for use by the team and be able to extract information and reports for Senior Directors
-Maintaining a meticulous online filing system for all projects which adheres to CBRE standards of compliance (this includes preparation for external audits)
-Booking travel via the Corporate Travel Account online booking system (Egencia and Trainline)
-Formatting of PowerPoint presentations for pitches and internal presentations
-Formatting Microsoft Word reports and other documents
-Submit expenses on behalf of Directors in a timely fashion
-Diary management
-Arranging client and internal meetings, lunches and dinners
-Providing reception cover on rota with other Leeds TA team when the full time receptionist is at lunch or away on leave or sickness absence
-Communicate with the team, ensuring awareness of whereabouts when individuals are lone working
-Assisting with new joiner procedures

-Good interpersonal skills with a professional attitude
-Ability to prioritise and act on own initiative
-Can be trusted to be discreet with confidential information relating to both projects and the team members
-Able to work to deadlines and have a flexible approach
-Ability to work autonomously and proactively
-Good writing skills
