General Summary

The purpose of the position is to collate EMEA payroll data supplied by HR and other departments for processing and provide to the payroll companies in the required input format.

To review, validate and manage payroll output received, for accuracy and to ensure that accurate payroll payments are made to employees in line with legal country specific requirements and pre agreed timelines. In addition the payroll specialist needs to ensure that accurate processed payroll data is available for upload into the accounting system to reflect the costs of payroll. The role will need to ensure that the amounts remitted to tax authorities for regular payrolls as well as shadow payrolls are in agreement with the amounts due and is supported by the necessary filing requirements.

Principal Duties and Accountabilities.
  • Interaction with HR across Europe to gather all the necessary documentation to compile an efficient payroll.
  • Ensure accurate and timely processing of employee changes; entering all payroll data as necessary adhering to specific timescales.
  • Identify any under or overpayments and ensure these are rectified urgently.
  • Work closely with payroll vendors to resolve any discrepancies or system issues.
  • Analyse & manage payroll output for accuracy and to meet legislative requirements.
  • Prepare full supporting data for any payroll payments required.
  • Shadow payroll processing for Spain/France and Belgium/Netherlands
  • Reconciliation of net pay, pension and taxes paid to bank account.
  • Processing of stock proceeds through payroll.
  • Highlight and escalate/respond to any matter that may affect the smooth running of EMEA payrolls.
  • Liaise with EMEA Tax authorities and other professional bodies to provide information as appropriate.
  • Keep up to date with EMEA legislative changes in relation to payroll.
  • Perform reconciliations and EOY processes as required.
  • Liaise with EMEA employees on a regular basis to obtain necessary tax; banking and payment changes.
  • Advising employees and managers on payroll issues as first point of contact for enquiries, referring enquiries on to senior staff as appropriate.
  • Provide accurate and timely payroll data to other departments as and when required.
  • Work with benefits providers to ensure benefits provided in line with company policies.
  • Monitor payments related to benefits and ensure full reconciliation between benefits expense and amounts paid to benefit providers/benefits authorities.
  • Provide supporting data to finance to allow for accurate recording of benefit costs.
  • Prepare year end data for reporting to tax/social security authorities regarding the value of benefits provided to employees.

SKILLS AND QUALIFICATIONS

Experience
  • Payroll experience using Activ Payroll and Exponens automated payroll systems.
  • Understanding of Payroll and benefits, tax and social security legislation in EMEA, specifically France, Netherlands, Germany, Belgium, Spain and UK.
  • Understanding of Shadow Payroll and Split Payroll processes
  • Responsible for payroll tax filings, lead and managed payroll, yearend process and reporting.
  • Knowledge of Sarbanes-Oxley compliance.
  • I.T literate including Microsoft Word, Excel and Outlook.
  • Experience in ERP environment, (preferably Great Plains and Workday).
