Job Summary

Primary responsibility is to support the Travel Services Manager with the administration of the Travel Program and monitor the Service Delivery of the contracted travel partners across South Africa and ARO.

Operational Efficiency

Outputs to deliver this accountability:
  • Manage and track the performance of service delivery of external service providers by ensuring that deliverables are met as per set Service Level Agreements (SLA's) as and when required
  • Ensure continuous and effective feedback channels (surveys etc) to enable effective measurement and rating of external service providers.
  • Conduct follow ups with external providers based on internal feedback and business requirements to ensure matters are actioned,
  • Communicate policies (Business Travel Policy in particular) to service providers and internal clients as and when policies change and perform quality assurance for adherence.
  • Ensure the Travel Management Company complies with the global standard for data capture to enable effective data. Educate the business on the requirements and the drivers supporting the requirement (Tax, Compliance etc )
  • Support with updating eesnanetensuring that content is relevant and awareness is created to travelers.
  • Support the Travel Services Manager with monthly operations meetings with the Travel Management Company operations and finance teams to ensure continuous improvement of service delivery.
  • Administer the travel request system and ensure that it is working effectively, identify ways of improving the experience for users.

Risk Management

Outputs to deliver this accountability:
  • Familiar with the policies, processes and procedures that are being planned for the area and ensure that they are able to incorporate the changes on the effective date.
  • Assist with investigations in to any breaches to the Travel Policy.
  • Ensure that the Travel Management Company performs BCM tests at the required global intervals and document test results. Work with other Operations Managers in the global Travel Services team to implement corrective measures in case of test fails.
  • Review the weekly Anvil travel risk reports and ensure corrective action is taken where needed to close any data gaps.

Business Management

Outputs to deliver this accountability:
  • Assist with managing the contracted Travel Management Company and travel supplier budgets including arranging for the authorization of invoices and quotes. Escalate out of budgets or items higher than approved mandate to the where relevant.
  • Rigorously monitor expenditure against approve budgets and put measures in place to address variances. Continuously identify areas for improved efficiency and reduced cost. Conduct basic statistical analysis to track performance variances and determine the root causes of errors. Make recommendations for productivity or process enhancements to process owners.
  • Implement productivity improvement measures be engaging with service providers on any new processes or on their areas for business improvement.
  • Participate in the measurement and reporting of internal and external Service Level Agreements on a quarterly basis. Address any process failures.

Education and Experience Required
  • Typically 5-8 years experience in the industry

Education

Bachelor`s Degrees and Advanced Diplomas: Business, Commerce and Management Studies (Required)
