Student Billing Manager/Senior Accountant  

Notre Dame Preparatory School, an independent, Catholic school for girls in grades 6-12 in Towson, Maryland, is seeking candidates for the position of Student Billing Manager/Senior Accountant. Founded in 1873, the school currently enrolls nearly 800 day students, with approximately 190 in the Middle Level and 610 in the Upper Level.  Reporting to the Director of Finance, the right candidate will enjoy working in a mission-driven, religious educational setting. Employment is full-time beginning upon hire.

 Essential Duties & Responsibilities

 Student Billing

  • Coordinate all aspects of student billing including: Manages the enrollment process for current students from start to finish including tracking signed enrollment contracts and deposits received. Ensures accurate enrollment counts through the enrollment process and thereafter in conjunction with the Admissions & Enrollment Management office.  Keeps annual enrollment numbers and year-over-year numbers and sends regular updates reflecting these numbers to those interested and involved in the re-enrollment and admissions processes. Manages all student accounts in FACTS Advanced Accounting including set up of annual payment plans.  Adds incidental fees throughout the year for athletic fees, course fees, field trips, Advanced Placement testing fees, and other fees as they arise.   Crediting student accounts for the sale of used books at year-end and refund of credit balances to non-returning students. First point of contact to all parents for coordination of student payments through FACTS Tuition Management Plan.  Reviews and reports on account receivables. Adjusts students’ accounts in FACTS to reflect payments made to the school. Uses discretion to make changes requested by parents/payers to FACTS accounts to avoid NSF fees for parents managing their tuition payments. Contact parents/payers who have missed or skipped payments to ensure payment will be completed. Counsels parents through payment options and manages collection process to ensure all amounts are received before the end of the year. Coordinate quarterly meetings for review of outstanding tuition balances. Coordinates with Admissions & Enrollment Management and the Guidance department when a student withdraws. Reconciliation of accounts receivable, enrollment deposits, deferred tuition, and credit balances as of year-end.

 

  • Coordinate aspects of the financial aid application process including: Ensuring that parents of students who receive financial aid complete an application for Grant & Aid on an annual basis.  Coordination of Financial Aid Committee meetings with members. Providing necessary reports from FACTS to Financial Aid Committee for review. Provides insight on current students through interaction with parents/payers on account. Adding approved financial aid awards to appropriate accounting systems.

Senior Accountant

  • Assist with quarter-end closing and provide supporting documentation for audits. Reconcile processed work by verifying entries, comparing to system reports, and preparing reconciliations and journal entries. Assist with monthly bank reconciliations, managing prepaid expenses, and accrued expense liability accounts. Assist with Trading Post (school store) accounting. Assist with providing updates on budget to actual for various departments. Maintain accurate historical records. Back-up for Staff Accountant and the Accounts Payable process. Other duties as assigned.

Qualifications:

  • Bachelor’s degree in accounting (or equivalent) required A minimum of 2-4 years related experience Licensed Certified Public Accountant (CPA) or working towards the CPA license (preferred) Non-profit experience, specifically in an educational setting (preferred)

Skills

  • Thorough understanding of Generally Accepted Accounting Principles (GAAP) and ability to apply them in practice. Able to communicate and work well with co-workers, student families/parents, and other members of the community. Professional, detail-oriented, able to analyze data and circumstances. Strong organizational and time management skills. Ability to manage multiple priorities in a dynamic, fast-paced environment. Knowledge of Blackbaud Financial Edge Accounting Knowledge of FACTS Tuition Management and FACTS Advanced Accounting Proficiency with Microsoft Excel and Word.
