We are currently looking to recruit an experienced AP Officer or Assistant to join our team to cover maternity leave. This role is part of our Group Finance function. The role is to ensure all payments (international or domestic) are accurately processed and paid according to payment terms and to the correct vendors and minimising errors to avoid fees and foreign exchange rate loss.

Key responsibilities include:

Accounts Payable
  • Receive, review and prepare invoices in readiness for processing
  • Provide guidance to all staff on accounts payable procedures, ensuring that all invoices and payment requests are completed correctly
  • Forward invoices to responsible officers to obtain authority and costing details, and monitor the return to ensure timely payment.
  • Where suppliers indicate outstanding accounts follow up invoice authorization with responsible officers.
  • Input invoice details into computer system, scan invoice and process through to payment stage.
  • Raise payments and sort and distribute to ensure timely receipt by creditors and process electronic transfer payments to supplier nominated bank accounts and distribute remittance advices as required.
  • Run reports and complete reconciliations at dates per Head of Finances request.
  • Maintain monthly rental ledger/schedule of unders, overs, advances, arrears and adjustments.
  • Reconcile rental payments and rental ledger/schedule to leasing agreements on half yearly basis.
  • Address and respond to customer / creditor enquireries and follow up any outstanding items with responsible officers.
  • Process invoice payments in different currencies weekly, e.g. AUD,NZD,USD,GBP,EURO
  • Ensure on time billing statement within the trading terms
  • Assist Head of Finance and Management accountants with Other ad-hoc assignments;

Accounts Receivable
  • Process weekly AR ageing reports
  • Receipt funds received from customers and vendors
  • Process credit notes

Customer Service
  • Maintain a high level of customer service internally and externally
  • Provide consistent, timely and accurate delivery of accounts payable services to clients.
  • Provide support to the Head of Finance as required.
  • Undertake a range of operational activities associated with accounts payable including providing an escalation point for complex queries, providing advice to clients and vendors, creditor file maintenance, monthly reconciliations, invoicing and claims management and other relevant duties as required.

We are seeking the following attributes:
  • ~5 years administration experience
  • 2+ years experience in AP
  • Relevant qualification e.g. Cert IV/Diploma/Degree in business administration, finance
  • Excellent verbal and written communication skills;
  • Reliable and punctual;
  • Enjoy being hands on, reactive and tactical in solving problems;
  • Be energetic and have a can-do attitude;
  • Ability to multi-task and work towards deadlines;
  • Have high attention to detail, proactive and strong use of initiative;
  • Have sound ability to plan, organise and prioritise your work;
  • Ability to work under minimal supervision;
  • Take ownership and accountability of your work and results; and
