Currently we are searching for an Administration & Automation Assistant to support our 'Nordic Global Entity Management team from our hub in Katowice. If you're looking to work with data within an international environment and want to acquire new knowledge in automation processes, we will support you in achieving greater heights!

 

Job purpose


An Administration & Automation Assistant will primarily organize all documentation and data regarding the GEM (Global Entity Management) service for all Nordic countries, amongst others by transferring all documentation and data to Viewpoint.
This role will support client delivery teams to structure data from multiple sources (including contracts and other documents) in MS Excel and the application Viewpoint. So, the successful candidate is required to able to interact with teammates and direct supervisors and create the GEM data base in an efficient manner.


Also, the successful candidate will develop automations using macros, Office tools and Alteryx and support the business areas to test these automations.

Training in Alteryx and Viewpoint will be provided by TMF, but previous strong knowledge of MS Word and Excel is required for the role.

 

Key Responsibilities

  • The tasks and responsibilities of the Admin & Automation Assistant include, but are not limited to, the following:
  • Set up clients in our client data base Viewpoint
  • Organizing/preparing database in MS Excel with all necessary information from multiple source documents and applications
  • Interview and collect information from many areas of the organization to understand operational processes
  • Document process maps
  • Preparing automations using macros, MS Office tools and possibly Alteryx and other software to improve efficiency of the GEM activities
  • Automations using Power Automate and Power Apps are also possible
  • Provide support to teammates to test the automations and applications and support the team to solve any problems

 

Key requirements

  • Degree in Business, Computer Science or related subject and an interest in corporate governance
  • Excellent knowledge of English (C1) and an interest to learn key, corporate words in 4 Nordic languages
  • Proficient with Microsoft Office (Word and Excel)
  • Excel Energetic, well organized and meticulous
  • Communicate information in a clear and concise manner (verbal and written work) to both internal and external stakeholders
  • High Integrity; trustworthy, dependable and able to deal confidentially
  • Strives for high standards of delivery;
  • Able to meet expectations, deadlines and commitments
