Diversity Role Models (DRM) is a LGBT+ education and anti-bullying charity with a vision of a world where everybody embraces diversity and can thrive. DRM's unique approach to embedding inclusion and building empathy is through educational workshops in schools featuring LGBT+ and ally role models.

We are growing and we are professionalising. We have some exciting and game changing projects being delivered by our team and we are looking for a new Chief Operating Officer to help us make strategic decisions on our offering and ultimately impact the experience of children in UK schools.

The post holder will support the CEO in delivering the strategy and provide leadership across the rest of the organisation. Our COO will lead on all operational delivery aspects of DRM, particularly finance, policies, compliance, HR, and systems management. The postholder will also have immediate management responsibilities for three direct reports to ensure the continued stability and smooth running of the organisation.



Key accountabilities

Delivery:


Ensure the smooth and effective delivery of DRM activities in schools and classrooms we partner with;
Oversee the operational delivery processes, working with relevant members of the team to improve and refine them to ensure that they remain fit for purpose;
Monitor the performance of operational delivery processes against agreed key performance indicators;
Manage the operations team to ensure that operational delivery processes are carried out efficiently and to a high standard;


Board liaison:


Assist the Chief Executive Officer with the preparation of board papers, attending board meetings and relevant board committee meetings;
Ensure that information about the organisation and about trustees/directors is kept updated with Companies House and the Charity Commission;
Support with all Trustee/Director recruitment, onboarding and offboarding as required;


Finance:


Manage the day-to-day finances of DRM, including keeping our accounting system updated and liaising with the freelance bookkeeper as appropriate;
Reporting finances to the board, including preparing management accounts and meeting with the finance sub-committee;
Lead on the production and filing of the Annual Report and Financial Statements, including liaising with accountants, independent examiner/auditor and DRM's Treasurer;
Prepare the organisation's annual budget and preparing budgets for individual applications/projects as required;
Liaise with DRM's payroll provider and bookkeeper to ensure that staff are paid on time each month;
Oversee the processes for receiving donations, including administration, monitoring and reporting;


Human Resources:


Support with all HR matters as they arise and act as an escalation point for employee queries
Support with the recruitment of new staff as required;
Manage the HR system and acting as admin alongside the Chief Executive Officer, ensuring that information is kept updated as appropriate;
On-boarding and off-boarding employees at the beginning and end of their employment;


Policies, compliance and safeguarding:


Act as DRM's Safeguarding Lead, working with the Chief Executive Officer, Deputy Safeguarding Lead and Safeguarding Trustee to ensure that we continually improve our practice and procedures and respond appropriately to concerns where they are raised;
Ensure that agreed safeguarding procedures are embedded in our operational processes and monitoring their effectiveness;
Lead on the review of and updating of DRM's policies and presenting these to the board for approval;
Act as DRM's lead on Health and Safety and data protection management;
Manage the procedures for applying for and reviewing DBS checks for staff and volunteers;


Data and systems management:


Administer Salesforce for the organisation and leading on its strategic development to ensure that we maximise its potential;
Administer Office 365, managing user permissions and overseeing compliance as required;
Work with the team to identify data and reporting requirements and setting up appropriate template/default reports to provide access to business as usual reporting;
Produce ad hoc reports as required, outside of DRM's business as usual reporting;
Administer any other systems as required;
