The right candidate will be outgoing, energetic, flexible, resourceful, and adaptable while managing multiple tasks and projects. This individual must have great communication & writing skills, a can-do attitude, and ideally familiar with bookkeeping responsibilities or finance background. Personal Assistant responsibilities include but are not limited to:
- Responsible for organizing and managing multiple calendars with a complex schedule of personal matters primarily for the female principle
- Assisting with managing all personal expenses, including reconciling credit cards & preparing expense reports as needed
- Assist with guest lists, events, and party planning, dinners, social gatherings, etc.
- Personal shopping, executing special requests, running errands, and related duties as needed
- Responding to a heavy volume of phone calls and directing messages accurately
- Booking flights, coordinating travel arrangements, and organizing detailed itineraries
- Drafting email and mail correspondence as well as coordinating and relaying information to the appropriate team members
- Communicate and coordinate with domestic staff, vendors and contractors, etc. as needed
- Act as primary gatekeeper and liaison for principal
- Managing corporate & personal expenses, reconciling accounts, preparing reports as needed
- Accounts Payable, Accounts Receivable, Inventory Control, Cash-Flow Statements, Income Statements, Balance Sheet, etc.
- Serve as a liaison in management of vendors and contractors
- Administering any payroll HR schedules
- Annual / Weekly Budget management
- Office and administrative tasks and responsibilities pertaining to principal
- Conducting specialized research as needed
- Executing special requests, errands and related duties as requested
- Fielding heavy phone call volume and maintaining contact information
- Drafting correspondence emails and letters
- Minimum 4-year BA or BS degree from a top-rated College or University
- Minimum of 5 years related experience supporting prominent individuals; both in personal and business capacities
- Excellent references from both current and previous employers
- Prioritize executive tasks and multi-task effectively
- Strong communication skills, both written and verbal
- Proficiency in all areas of Microsoft Office and Mac OSX; must be very tech-savvy
- Experience planning, managing, and executing events and gatherings
- Professional mindset and the utmost discretion
- Ability to work independently and as part of a team
- Detail-oriented with exceptional organizational skills
- Flexibility with hours and schedule; available to work overtime as needed
- Valid US work authorization
- Valid Driver's License plus
- Valid Passport
