MAIN PURPOSE

The purpose of this position is to provide Human Resources and Payroll support to Richemont Shared Services and Brands in Australia & New Zealand.

KEY RESPONSIBILITIES

Recruitment, Selection and On-boarding/Off-boarding
  • Where applicable, work with respective HR team member in Singapore/Australia to determine the requirements for recruitment
  • For non-managerial positions: to conduct first round of interviews and assist and coordinate with Hiring Managers in the selection of suitable candidates in an effective and efficient manner. For Managerial positions: to assist with logistical arrangements for respective HR team member in Australia to undertake the first round of interviews.
  • Maintain up-to-date recruitment progress report
  • Manage on-boarding process of new joiners (SAP account creation, ensure new staff complete their on-boarding documentation and processes
  • Coordinates the pre-employment screening process and escalate to respective HR team member for any major discrepancies.
  • Prepare Employment Contracts and any letters relating to change of employment type, location, salary etc.
  • Ensure managers conduct probation period reviews and partner with the respective HR team member to follow-up on the progress of new joiners
  • Ensure employees who have resigned complete the off-boarding and clearance procedure and that all departments are notified (eg: return of company property, deactivation of office access, network access, stock count (where applicable), cancellation of work visa, etc)

  • HRIS and Employee File
  • Perform timely and accurate updates of employee records (personal details, position, salary, appraisal outcomes, training and awards) in HRIS system (SAP)
  • Ensure all documentation relating to each employee are kept and filed accordingly using correct filing protocol
  • Assist with relevant audits of employee records or systems as required

  • Compensation and Benefits
  • To administer all payroll activities with out-sourced vendor for Australia and New Zealand (NZ starting August )
  • Check the accuracy of payroll and prepare the reports and approvals for Head of HR and Finance Director's approval.
  • Ensure compliance in work flow when processing payroll (eg: approval from brand managers
  • to confirm that the commission payment is correct, etc)
  • Ensure compensation and personal data is uploaded to outsourced payroll provider and/or SAP promptly and accurately
  • To compile all data needed for salary surveys, the Annual Salary Review, and the Annual Performance Appraisal Analysis
  • Perform journaling as required

  • Employee Relations & Safety
  • Co-ordinate workers compensation claims and facilitate return to work plans where required
  • Conduct exit interviews with exiting staff and update the related database.
  • To assist in grievance handling and provide support in grievances to Head of HR.

  • Training and Development
  • Assist with delivery of face to face employee on-boarding
  • Co-ordinate and schedule external vendor training to align with L&D program
  • Co-ordinate training attendance lists and update in L&D platform where required

  • Other Projects
  • Provide local HR support to deliver important HR projects and initiatives
  • Actively participate in local and regional HR projects
  • Support boutique teams with KRONOS as required

  • Expatriates Support
  • Facilitate the relocation of expatriates through application of necessary work visas
  • Liaise and work with housing agent, providing local knowledge on schooling, and answering general questions on taxes, etc.
  • Assist with facilitation of expatriate on-onboarding

  • Administration
  • Raise Purchase Orders via SAP for HR related expenses and ensure vendor includes PO number in invoices and all invoices are verified using correct process
  • To raise request via FISM for creation of staff ID for expense claims processing
  • Ensure that staff profiles are maintained correctly on online leave system and HRSM (staff purchase)
  • To organise gifts for special occasion in accordance to brand and Richemont policies (eg: gift for marriage, long service award, etc)

    Job Specifications

    KNOWLEDGE & SKILLS:
  • 3 years HR and Payroll experience in Australia with sizeable multi-national companies
  • Minimum 1 year Payroll experience with New Zealand
  • Proficiency in SAP preferred
  • Computer literacy and conversant with Australian labour regulations
  • Experience in managing HR projects and execution
  • Excellent written and verbal communication skills are essential

  • QUALIFICATIONS AND ATTAINMENTS
  • Australian undergraduate degree in HR or a related field
  • Professional training in HR areas like C&B, Talent Acquisition, Training & Development is very desirable.
