Finance Admin Assistant

Established in 1993, Toughglaze (UK) Ltd has grown over the years to become a leader in the glass manufacturing and processing industry. Toughglaze is looking for a finance admin assistant to start immediately and to work full time, Monday to Friday from 9 to 5 pm.

The key purpose of this role is to:

Provide administrative and financial support including reception dutiesProvide secretarial and administrative support to the Director of finance.Record, reconciliation and bankingCheck, process and record all payments, administer invoices and expensesCode items to agreed budgets, and action payments.Reconcile transactions on computer and bank statements and ensure that all accounts balance.Liaise with and review budgets and expenditure as necessaryPrepare monthly reports and other data as required.Provide data to Staff Wages agency and process payments as agreedMaintain records for all the above on computer book-keeping package

Responsibilities:

1. To assist the Office manager with the inputting of supplier invoices and to produce sales invoices on SAGE Accounts
2. To assist the Office Manager with the end of month accounts and in the preparation for the end of year audit.
3. To run the Purchase Order system
4. To administer the organisation's petty cash system using both Microsoft excel and SAGE 200 accounts.
5. To obtain quotes for goods and services, including travel in accordance with financial procedures
6. To check invoices for accuracy, check goods and services have been received
7. To monitor and maintain staff mileage records using Microsoft excel

Essential Skills & Attributes:


• Numerate and willing to use Sage 200 finance administration software package

• Good secretarial skills and IT literate including in the use of the Microsoft 'Office' suite of programmes.

• Direct hands-on experience of finance, office administration and/or secretarial roles

• Excellent organisational skills - able to manage themselves and others effectively

• Comfortable working with others and on their own

• Good communications skills

• Time management to ensure that all your tasks are completed within a timely fashion and ahead of deadline

• Formal secretarial or administration training and finance qualifications

• Experience of book keeping or accountancy using Sage 200 or a similar finance software package

• Takes accountability and responsibility for team performance

• Quick learner. Quick to pick up and apply knowledge

• Resilient. Can quickly bounce back from setbacks. Keeps positive and maintains focus on the end goal.

• Adaptable and flexible. Can cope well with change

• Self-motivated, results orientated person
