We are currently looking for a Resource Assistant to support our office Team in Koszalin office. As a part of the divisional project team the Resource Assistant contributes by defining manpower setup to the Project, taking into consideration a balanced utilization of available manpower, in accordance with the sales budget and compliancy requirements.

TYPICAL DUTIES WILL INCLUDE

  • Ensuring most efficient utilization level, taking in to account the sales forecast, GWS-Group and Divisional economics, and technicians' legal rights
    • Adjust bookings to improve the utilisation level, based on decision making by the ‘utilisation calculator'
  • Running the recruitment process together with HR, to select the profiled technicians
    • Decide to recruit or subcontract technicians to fill the positions in the planning
    • Propose movement or dismissal of technicians to Resource management
  • Line management for a fixed group of technicians
    • Actively gaining knowledge about and store in a unified structured way, the skills and competences of the technicians in his/her Group, incl. day to day communication and keep this accessible
    • Approval of working hours and expenses for Technicians
    • Visa applications for Technicians
    • Lead actions in line with company policy in relation to disciplinary processes
    • Maintain regular contact with Technicians, including performance management, feedback, pay reviews and performing annual dialogues regarding development
  • Defining and publishing manpower setup for projects into our systems
    • Selecting the technicians based on their personal skills, competences, experience and potential development, and fill out the bookings
    • Propose adjustments to technician group size, based on utilisation level and technicians' performance
    • Continuous monitoring the performance and size of the group of line managed technicians
  • Developing the safety culture within GWS
  • Compliance with client contracts and obligations
  • Reconciliation of expenses including travel costs
  • Monthly reporting on KPI's


REQUIREMENTS FOR SUCCESS IN THE ROLE

  • Excellent communication skills with ability to communicate at all levels within the business
  • Man-planning skills and experience
  • Very good understanding of IT systems, including Excel
  • Flexible and able to work within a fast-paced environment
  • Excellent organisational, multitasking and prioritisation skills
  • Highly motivated, driven to deliver highest standard of service
  • Able to navigate in a complex environment
  • Fluent English both spoken and written
  • Costs reconciliation experience
  • Recruitment experience
