The Finance Manager reports to the Director of Finance and Operations (DFO) and is a key appointment, to run the day to day management of the financial activities of the school. Along with the Facilities Manager, the Finance Manager provides cover for the Director of Finance and Operations in his absence.

Description

The Finance Manager is responsible for day to day running of the Finance function and maintenance of the accounting system (SAGE 200c).


  • Directing the activities of the Finance Team of three, as well as close liaison with other individuals with financial and operational responsibilities (Director of HR, Development Office, Facilities Manager, Director of IT, Director of Sport, Catering Manager, devolved budget holders etc.).


  • Specific responsibility for the Nominal Ledger and Balance Sheet items (Capital purchases, Fixed Assets register, Bank Loans, short term investments & cash flow management, bank reconciliation).


  • Preparation of regular management accounts as required by the DFO and Governing Body.


  • Preparation of the annual Financial Statements to comply with the most recent Charity Commission Statement of Reporting Procedures.


  • Liaison with the Auditors during the period of Audit and at other times as necessary.


  • Liaison with the Audit Committee and other committees/working parties that may be assembled from time to time


  • Supervising the termly fee invoice production, and ensuring queries raised by parents in respect of the fee invoices are resolved in a timely manner by the relevant Finance Assistant.


  • Monitoring the collection of outstanding fees, cash received and non fee income in accordance with established procedures. This includes the collecting of fee income by monthly and termly direct debit collections.


  • Monitoring the processing of invoices and payments to ensure consistency of nominal ledger coding, application of credit terms and funds management. This includes the input and submission of BACS payments and the supervision of the Accounts Assistant with responsibilities in this area and the efficient dealing with creditors.


  • Assisting the DFO and Finance Assistant with the Fee Assistance & Hardship application process. Ensuring Scholarship and Fee Assistance recipient lists are maintained and applied to fees.


  • Preparation of the annual budgets in consultation with the DFO, members of the Executive and devolved budget holders. Assisting devolved budget holders with the management of their budgets, as necessary.


  • Assisting the Development Office with financial matters relating to fundraising and its accounts. This includes dealing with gift aid tax claims as appropriate. Understand the principles of Fund Accounting.


  • Assisting the Development Office with financial matters affecting lettings and general trading activities.


  • In conjunction with the DFO and Director of HR ensuring the monthly salaries of all employees are processed accurately and completely, including monthly and annual statutory returns and pensions.


  • Conducting induction and appraisal for Finance staff, identifying, and implementing such training as appropriate


  • Working with the Facilities Manager to monitor spending and projected work to ensure Facilities budgets are not overspent.


  • Monitoring and supervision of third-party Catering Contractor operating on the main School site ensuring budget compliance.


  • Keeping the staff intranet up to date with finance forms and processes.

    ACA/ACCA/CIMA qualified

    Sage 200c experience
    Finance and accounting experience at Finance Manager / Financial Manager level
    Experience of managing small teams
    Flexible and willing to turn their hand to anything financial or related to School operations.
    Discrete and trustworthy
    Good sense of humour
    Attention to detail and accuracy
    Self-motivated and able to work on own initiative
    High level of excel and word skills

    Previous schools experience
    Previous charity experience
    Experience of dealing with AUDDIS and paperless direct debits.
