Global Workplace & Employee Services (Corporate Real Estate) delivers optimized and reliable facilities management services to create a flexible, transparent and cost efficient environment for the bank. We cover building related services (e.g. facility services, move & workplace services, mail & courier), business support services (e.g. room management & reservations, reception services & switchboard), as well as staff services (e.g. employee catering, health services).

The primary focus of this position is to ensure that all processes in relation to the services in scope of the department are adhered to and that periodic tasks are completed in a timely manner. List of responsibilities:

  • Planning Facility Management spend by providing monthly forecast update and annual budget,
  • Pursuing month end closing activities covering: accrual calculation, update of expected spend and review of orders with overspend, providing comments on significant variances M2M, YTD2Budget, M2FcST,
  • Monthly Reporting by providing an update of FM Tool with YTD data overview covering all GL postings (invoices, manual payments, accruals, corrections, other entries) with split of costs on regular spend and variable,
  • Regular controls such as: Manual payments template review (data transferred to VAT Tool), coding review of invoice postings (orders vs GL entries), review expected balances in closing file versus expected as per Tool to make sure accrual's completeness,
  • Controlling (review of postings) Variable Spent - Engagement with various partner,
  • Adhoc reports and preparation of data for Business Cases,
  • Process improvements, making sure that all necessary controls are in place and working optimally,
  • Pending the skill set of the new hire, there is potential for a more global budget coordination role

Requirements:
  • Proven 3-5 years of practical experience in operational controlling
  • Outstanding written and verbal communication required in English, German (B1) will be a great asset
  • Enthusiasm, analytical thinking, communication skills, high degree of independence and assertiveness
  • Advanced Excel skills
  • A university degree in finance, business administration or accounting
  • Analytical and fact driven
  • Proven process and controls knowledge
  • Good communication skills to communicate effectively on all hierarchical levels
  • Being able to work as a part of a remote dynamic team
