We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our finance team. This position requires a professional, adaptable, organized, proactive, individual who is able to work independently in completing assigned duties in a fast-paced environment. The ideal candidate will have a bright, positive, team player mentality, and who is also an excellent communicator. The ideal candidate will be responsible for managing all aspects of the accounts payable process, ensuring timely and accurate payment of invoices.Responsibilities

• Process invoices received from vendors and employee expense reports.
• Review and respond to vendor inquiries; research and resolve discrepancies.
• Review statements and verify completeness, request missing invoices.
• Sort, code, and match invoices against existing PO’s; work with business partners to update PO’s when necessary.
• Monitor invoice approvals to ensure timely payments.
• Initiate wire & ACH payments and templates.
• Monitor recurring invoices to ensure receipt and timely payment.
• Prepare payment run file for weekly payments.
• Vendor Management: confirm and submit new vendors and information changes, obtain required documents such as the new vendor form and W-9.
• Assist with annual 1099 processing.
• Assist with audit support requests.
• Perform ad hoc tasks, as assigned.

Requirements

• At least 3-4 years of working experience as Accounts Payable Specialist or similar role.
• Solid understanding of basic bookkeeping and accounting payable principles.
• Proven ability to calculate, post, and manage accounting figures and financial records.
• Experience with Bill.com or other bill processing tool a plus.
• Data entry skills along with a knack for numbers.
• Hands-on experience with spreadsheets.
• Proficiency in MS Office (especially Excel) and accounting software (e.g., NetSuite). Bill.com experience is a must.
• High degree of accuracy and attention to detail.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• High school diploma required; associate or bachelor’s degree in finance, Accounting, or Business Administration preferred.
