Operations Oversight

Aim & purpose of the role:
To systematically monitor and handle the Operational Oversight of the business to ensure we meet and follow regulations.
To work as a liaison between the firms Investment Managers (IMs) and BNY Pershing to deliver the best operational outcome for customers

Key accountabilities/responsibilities
  • Taking queries from Investment Managers and raising to client services team - escalating accordingly
  • Initiating asset Transfers to/from external counterparties into the Nexus system, maintaining oversight of the lifecycle of the transfer via the dashboard, query handling from IMs and escalating accordingly to ensure timely completion
  • Instructing internal transfers onto the Nexus system, including inter-spousal gifts, deceased estates and distribution of trusts to internal account holders
  • Attending regular team meetings with BNY raising and discussing any issues with workflow, suggestions of enhancements to processes and ensuring communication between WCIM & BNY is maintained effectively and efficiently
  • Oversight of Wrapper (ISA/JISA) administration including subscriptions, APS, deceased estates, wrapper closures/voids and monitoring ISA stock eligibility
  • Preparing and pre-checking stock and paperwork for Crest dematerialisation
  • Reviewing Open trades on the Nexus system amending where necessary, addressing any short positions, instructing buy-ins or penalties where required
  • Administration of Structured Products and Structured Deposits setup, handling the uploading of trade files into the Nexus system and following the lifecycle to ensure a smooth settlement outcome
  • Instructing customer payments into the Nexus system, maintaining oversight of the cash flow and being responsible for payments received by BNY without reference
  • Administration of Corporate Actions - liaising with IMs and managing the upload of events onto AWOL, collating responses and uploading onto Nexus system ahead of BNY deadlines
  • Advising IMs of any dividend payments made to customer accounts by BNY
  • Monitoring Proxy voting via third party portal for upcoming meetings, advising IMs & customers of voting options and submitting votes accordingly
  • Unit Trust administration, including account set up and class conversions
  • Static data administration, including stock set up requests, manual pricing, market counterparty setups and ensuring static data is correct re dividend payment currencies etc.
  • Ensuring CGT transaction history/opening balances are correct and maintained during account lifecycle
  • Assist with the general administration and reconciliation of Transaction Reporting duties
  • Participation in key departmental projects and undertake any additional Operational Oversight tasks when requested by the Line Manager/Senior Management
  • Drafting of departmental procedures and ongoing ownership of those procedures


Person Specification/Skills

  • Highly organised with a strong attention to detail, with particular focus on accuracy and numeracy ability
  • Be able to work effectively during pressure periods while prioritising and multi-tasking

  • Very strong analytical and problem solving skills
  • Prepared and able to learn a number of systems
  • Working to tight deadlines under pressure

  • To be able to communicate confidently and concisely in scrums and meetings and suggest/discuss ideas for procedural changes to keep in line with regulatory requirements


Education/Experience
  • 2 years prior experience working within an Operations environment, preferably in Investment/Wealth Management
  • Understanding of the current Regulatory environment
  • Excellent knowledge of Outlook, Excel, Word and Google sheets/docs
  • Experience in liaising with external counterparties and platform managers via telephone and email
  • Experience in handling queries and requests from Investment Managers
  • Experience in arranging and chairing meetings to discuss changes to the business/operational workflows
