Bookkeeper & Operational Support

Overview

This is a new role with CVS and therefore will be a great opportunity for the right candidate to support developing the role / defining duties over coming months.

Duties
  • Conduct expenditure reviews to reduce unnecessary spend and minimise spend as needed.
  • Supporting in business strategies creating budgets and forecasting.
  • To provide administrative and bookkeeping support for the business.
  • Cashflow control and monitoring.
  • VAT and deferment account control.
  • Oversee and manage employee expenses with the Accounts Assistant.
  • Maintain the companys accountancy software systems and to ensure all client and supplier records are kept up to date.
  • Processing purchase invoices, identifying and rectifying discrepancies, effectively resolve queries, verify financial data for use in maintaining accounts payable records, and manage payment of invoices in a timely manner.
  • Assist in the management of accounts receivable, follow-up on overdue accounts, and processing of incoming payments.
  • Perform daily scheduled bank reconciliations, ensuring all transactions are accounted for and discrepancies are resolved in a timely manner.
  • Ensure company and personal compliance with accounting standards and business policies.
  • Assist in the preparation of monthly, quarterly, and annual financial reports, alongside Operations Director.
  • Working with and co-ordinating the sharing of data to external accountants to prepare management accounts.
  • Provide support during both internal and external audits, ensuring all documentation is accurate and readily available.
  • Maintain accurate financial records by entering data into accounting systems and verifying discrepancies. Implementing and maintaining quality control measures to enhance accuracy.

System / Operational Support;
  • Support role for both Managers and Directors.
  • Set up new suppliers and customers with required preauthorisation checks, negotiating optimal credit terms and conditions and maintaining an accurate and up-to-date registers.
  • Conduct continuous supplier control and performance monitoring, addressing any issues as they arise.
  • Support role to projects and operations by handling and executing the administrative and organisational tasks.
  • Assist with various projects, research, and tasks as required by the executive teams.
  • Purchase ordering for consumables.
  • Answer telephone calls and undertake the telephone system for accounts management.
  • To carry out other admin, accounts and project operations duties to cover sickness, holidays and busy periods.
  • Support with goods in / out control, including shipping items to suppliers, customers and sites.

Requirements of successful applicants;
  • Extensive experience in both Xero software, Microsoft Office and teams.
  • Strong record keeping skills.
  • Strong attention to detail, has methodical thinking and proactive time management skills.
  • Ability to handle confidential information.
  • Previous experience in similar roles.
