Based in Newport, the department is responsible for processing all financials relating to our clients (landlords and tenants) in a timely and accurate manner as well as providing other administrative support to the overall lettings operation.

What’s on offer to you as Head of Client Accounts with haart Estate Agents in Newport
  • Basic salary between £30,000 - £35,000 per year (dependent on experience)
  • Full training will be provided (Appropriate handover from existing Client Accounts Manager who is remaining in the business with a projects/systems transformation role, and training to familiarise to company processes)
  • Monday to Friday 9am - 5.30pm
  • Reporting to Group Finance Director

The essential requirements of Head of Client Accounts
  • Excellent communication (written & verbal), influencing and interpersonal skills.
  • Excellent time management and organizational skills.
  • Strong attention to detail, and the ability to self-review.
  • The ability to manage and motivate a team.
  • Strong proficiency in using basic Microsoft packages (notably Word and Excel).
  • The ability to work well under pressure.
  • Minimum GCSE Maths and English C or above but higher educational levels preferable.
  • Previous experience of Client Accounting essential.
  • Previous experience of ARLA regulation desirable.

Main duties and responsibilities of this role
  • Managing, developing and coaching a team of ten
  • Supervising team and managing workflow through the office, including daily deadlines, including but not limited to:
    • Bank account / card receipts applied
    • Disbursement processes and draft / final statement checking
    • Outgoing client payments
    • Memos / Return of deposits / WO amendments / New let processing
    • Purchase Ledger invoice processing (contractor & agent)
  • Any incoming queries, internal and external, dealt with as appropriate
  • Ensure weekly deadlines are met including but not limited to:
    • Bank reconciliations
    • Non-resident landlord updates, checking & queries
    • External insurance (rent and legal protection policy) reporting
    • Tenancy Deposit Scheme (TDS) / other deposit schemes database upkeep, including new tenancy registration
    • Agency fee processing and transfer
  • Ensure monthly+ deadlines are met including (but not limited to):
    • Bank reconciliation to cash book
    • Deposit housekeeping
    • Liaison with external auditors for year end and ARLA reporting
  • Processing and filing HMRC quarterly & annual documents on clients behalf
  • Income & Expenditure report production and invoicing
  • Controlling client accounting system end of month process, agency fee and miscellaneous reporting
  • Month end processing and reporting to Head Office finance team
  • Manage and review various Client Accounts housekeeping / quality control reports / exception reports
  • Continuous improvement of processes to strengthen internal controls
  • Producing client accounting policies and training process documents
  • Being a team player and assisting the rest of the team with their daily processes as required
