We are currently looking for an Accounts Payable Assistant to join our Financial Shared Services team, to make sure supplier invoices are authorised, approved, and paid in accordance with company policy and agreed terms of payment.

What will you be doing in this role?

As an Accounts Payable Assistant at Tunstall, you will make sure all invoices are checked and then correctly coded and added to our finance system. Ensuring the approval of all invoices in line with Company policy and responding to any supplier or internal queries and following these through to resolution is vital to the success of this role. You will also process invoices against purchase orders and make sure payments are made on time and within the agreed supplier terms.

In addition, you will make sure all returns of goods, price queries, and credit notes are processed accurately and in a timely manner.

The Ideal candidate:

You will have proven experience as an Accounts Payable Assistant, within a medium to large organisation (we process circa 2,000 invoices per month). You will have a high attention to detail and have a proactive mindset, able to use your own initiative to resolve issues. Good IT skills, and experience of using finance systems and Excel is essential.

Some of your key responsibilities would be:
  • Ensure approval of all supplier's accounts in line with Company Policy,
  • Ensure all invoices are checked for arithmetic, legality, agreement to an approved purchase order; correct accounting for VAT; correct accounts coding and cost centre charging,
  • Ensure all invoices are authorised at the relevant level,
  • Process invoices against purchase orders and ensure purchase orders are closed on IFS and that any differences are thoroughly investigated and corrected where appropriate,
  • Ensure that all payments are on time and within the agreed supplier terms,
  • Ensure that all returns of goods, price queries and credit notes are processed appropriately and speedily, to ensure that invoices are not paid in error,
  • Ensure that all supplier queries are resolved as quickly as possible and that the supplier is fully informed of any reasons for withholding payment,
  • To ensure that the purchase ledger function continues to run effectively during periods of holiday and absence,
  • Ensure that supplier statements are reconciled monthly,
  • Work with all areas of the business to develop a seamless and efficient purchase to pay process.

Key skills and experience:
  • Proven Accounts Payable experience in a medium to large organisation,
  • Good attention to detail,
  • Ability to use own initiative to resolve problems and work as part of a team,
  • Good numeracy skills,
  • Good IT skills including with MS Excel,
  • Results driven - motivated to meet and exceed expectations,
  • Customer focused - deliver a high level of customer service both internally within Tunstall and externally to suppliers every time,
  • Resilient - the desire to achieve results and always remain positive,
