The Role: Are you an organized and detail-oriented professional with a knack for operational efficiency? Do you excel at managing complex processes? If so, we have an exciting opportunity for you to join our team as an Operations Specialist, reporting directly to the Operations Manager. In this role, you will be instrumental in overseeing the seamless integration of new coaches into our network while also ensuring the accuracy and timeliness of coach payments. Your responsibilities will encompass a diverse range of tasks, including conducting necessary background checks, issuing contracts and Statements of Work (SOWs), and coordinating new joiner training sessions. As our Operations Specialist, you will play a critical role in maintaining up-to-date systems and reports, communicating effectively with both new coaches and regional coach network managers, and addressing any discrepancies or issues that may arise during the onboarding process. Your attention to detail and proactive approach will be essential in ensuring that all operational tasks are completed efficiently and accurately. - Responsible for coach payments - accuracy, timeliness, discrepancies & issues, coach questions
- Coach contracts & SOWs - as well as contract renewals for existing coaches
- Conduct IR35 checks in the UK and equivalent checks for other countries
- Keep in-house systems up to date and accurate
- Support regional coach network manager as requested for payment, contracting and other employment related issues
- Oversee completion of onboarding tasks and proactively manage new coaches through the process
- Maintain and update systems and reports including status updates and changes to start dates
- Communicate with new coaches and coach network teams to ensure alignment on upcoming programs
- Set up IT/email and systems access for new coaches
- Co-ordinate new joiner training
- Ensure complete handoff to coach network managers when onboarding tasks are complete
- Passionate about customer service with 1-2 years of direct experience
- Takes initiative and makes things happen
- Ability to build successful relationships at all levels
- Comfortable holding people accountable and saying no when appropriate
- Clear and positive communicator
- Has attention to detail
- Excellent time management and organizational skills
- Proactive self-starter, plans and manages workload of self, able to work under pressure has excellent IT skills
