What you will do in your working day
Duties are very varied and include:
  • Printing off invoices and statements received into the accounts payable email and matching invoices against PO’s
  • Ensuring invoices are matched against supporting back up (e.g. signed off timesheets, goods received note etc.)
  • Processing all invoices onto Daybooks then updating to Pegasus and SAGE accounting software systems
  • Uploading invoices onto SharePoint for authorisation
  • Liaising with the Procurement and Operations teams on any invoice/orders that are in query for a quick resolution
  • Filing invoices that have been authorised for payment
  • Chase invoices that have not been authorised within 4 weeks of being uploaded to SharePoint
  • Ensuring that all supplier queries through email and phone calls are dealt with quickly and efficiently
  • Effectively communicate queries with key suppliers quickly and efficiently to enable invoices to be paid on time
  • Monthly nominal reconciliation of overhead accounts for management review
  • Monthly archiving of older data which is to be stored in archive facility.
  • Other adhoc duties as and when requested by Management Accountant/Accounts Supervisor

What to expect at the end of your apprenticeship
This role is intended to progress onto the next level of the accounts apprenticeship (level 3) for the right candidate, and applicants should be keen to work towards the apprenticeship programme and attend day release at Access Training on Team Valley, Gateshead.
