The Business Operations Department has the following functions: Trading Operations, Client Onboarding and Client Complaints, Payment Operations, Institutional Operations, Reconciliations and Market Data Operations. This role is within the Payments Operations team and reports to a Senior Banking Operations Co-ordinator.

The Assistant Banking Operations Co-ordinator is a key role within the business and interacts with Payment Operations, Treasury, Trading Operations, Finance, IT, Legal, Co-Sec and with members of Executive Committee. External interactions include Banks, Brokers, and Payment Service Providers (PSPs).

The Assistant Banking Operations Co-ordinator role has the following primary objectives:
  • To service the business or vendors through co-ordinating information in a time efficient manner e.g. ensure that information held with our vendors or requested from our vendors is accurate and up to date.
  • To ensure the wider team members have on going access to online Payment Service Provider Platforms, PSPs, which include Bank and Broker platforms to make and receive payments to our clients, ensuring any access issues are prioritised and resolved quickly.

The Assistant Banking Operations Co-ordinator role will suit someone who has impeccable attention to detail, is self-motivated and has a natural ability to prioritise tasks according to the business needs. They should be able to work on several tasks and projects simultaneously, maintaining focus, momentum and accuracy at all times. The Bank Admin Team, where this role sits, is an internal information Hub for all queries relating to Payment Service Providers.

RESPONSIBILITIES

Vendor Relationships (Approximately 75%)
  • Update Bank and Broker signatory mandates bi-annually or when there are changes to ensure that there is always sufficient signatory coverage.
  • Respond and complete KYC requests received from our Banks, Brokers, PSPs.
  • Complete documentation for changes on the corporate account as per business needs
  • Open/close CMC corporate accounts as requested.
  • Ensure relevant information is maintained and shared with the business e.g. Contact details for Vendors, interest rates for each bank and currency
  • Work with auditors and the business internally in arranging bank confirmation information for half year and year end audits.
  • For new relationships co-ordinate documentation between CMC departments and the Vendor and ensure the information is consistent with KYC completed for other vendors. Challenge when there is variation.
  • Maintain the account groups used for Reconciliations (eg mapping internal account numbers to external account numbers)

System access (Approximately 25%)
  • Grant access to new users by completing documentation or via the on-line platforms (Predominantly Bank and Broker access)
  • Review and maintain existing access for users and ensure consistency across departments and segregation of duties.
  • For new/ changing platforms: work with IT to install and test software; obtain training on how to create roles and permissions; assign users the relevant roles, permissions, and test access.
  • Update and maintain accurate documentation for the above

KEY SKILLS AND EXPERIENCE
  • The Assistant Banking Operations Co-ordinator will have experience in administering access to online Banking platforms with institutions e.g. adding users and creating/ allocating roles and permissions.
  • Experience in completing KYC documents.
  • Experience in liaising with Executive Committee members
  • Able to prioritise and manage time efficiently.
  • Maintain accurate record keeping and show attention to detail.
  • Preferable knowledge/an understanding of SWIFT and experience with working with a SWIFT bureau.
  • Preferable; an understanding of Anti Money Laundering rules within Financial Services and the concept of Client Trust Accounts.
