9-12 month maternity cover position

Accountabilities:
  • Accountable to Operations Lead UK&I and Finance Lead
  • The post holder does not have any directly reporting staff
  • This post carries no direct budgetary responsibility
  • The post holds responsibility to lead or support the monthly finance and operational processes

Purpose of the role:

Provide a comprehensive financial and administrative service to the BD Operational and Financial Teams.

Main Duties and

Responsibilities:

  • Maintain concise records of all CBRE transactions, finance and contract reporting requirements
  • Liaise with client representative when required
  • Understand, anticipate and deliver customer (internal and external) needs while building effective relationships.
  • Positively respond to both our internal and external customers through effective communication and personal accessibility
  • Liaising with client on a variety of matters and attending to their needs whilst maintaining a strong working relationship
  • Ensure company policies and procedures are adhered to consistently throughout the business unit
  • Understand procedures and processes and operate them to the required standard.
  • Ability to actively drive improvement and perform with an understanding of business requirements and changes
  • To assist in the production of supporting financial information as requested

Specific Duties include but are not limited to:
  • Annual maintenance of Subcontractor administration including but not limited to:
  • Raising purchase orders in accordance with the commercial guidance and ensuring that purchase orders are updated when changes required
  • Dynamics - SME for system Housekeeping monitoring
  • SME in finance systems used e.g. Dynamics, MyBuy etc incl. implementation of new system when required
  • Prepare and issue predefined reports, which form part of the contract and customer requirement, including but not limited to Billing Checklists, WIP, Open PO weekly report
  • Enable full auditable trails including but not limited to invoices, timesheets and material orders when required
  • Provide support to new contract mobilisations / demobilisations when required
  • Raising purchase orders and ensuring that purchase orders are updated when changes required including but not limited to raising of annual maintenance POs, ad hoc supplier POs / credits in a process fully compliant with SOX requirements
  • WIP reports and billing including monthly billing and submission for Extra Works
  • Liaise closely with the site team and CBRE central teams, ensuring accurate processing of items including but not limited to quotations, purchase orders, invoices, time sheets
  • Material ordering and administration when required by site teams
  • Processing supplier invoices and resolving any queries
  • Support for Elog books as required by site teams including but not limited to contacting suppliers for required documentation and working with the site teams to ensure CBRE documents are up to date
  • Subcontractor administration - supporting onsite teams with this where required as defined case by case, including but not limited to, support with booking in PMs and reactive jobs, checking of paperwork, dealing with contract queries
  • Provide contract support cover to all contracts in the Business Unit portfolio for periods of absence and annual leave etc.
  • Review of relevant Operations team expense requests
  • Processing of Operations team timesheets. including but not limited to, on time submission of all timesheets including overtime

EMEA account duties:
  • Monthly FM Core intercompany and client billing & submission in a fully SOX compliant process
  • Monthly Extra Works intercompany and client billing & submission in a fully SOX compliant process
  • Yearly Central Account Team Recharge billing & submission
  • Raising of Intercompany PO's, Invoices & ISM's when requested
  • Running of weekly EMEA Debt Report including dealing with Missing Invoices, Disputed Invoices etc
  • Admin of Webquote & Sharepoint (adding new users, amending access/contracts etc)
  • Supporting finance with ad hoc information requests (e.g. queries regarding PO's, SO's, supplier invoices etc.)
  • Additional Ad Hoc duties as required by the account
