As a costing and invoicing clerk, your responsibilities and duties will include the following:1)Costing

To track and ensure invoicing of all dispatched jobs timeously.
Ensure that all stock and time is loaded onto jobs and that outwork is receipted.
Check that the plan, quote and actual are in line.
Take corrective action if any of the above are incorrect.
Liase with sales, estimating, sales support, PC and Production on any issues arising from costing.
Check that actual are in line with agreed Cost of Sales.
Check that selling prices matches quoted price.
Check for any additional work done on jobs and liase with sales / sales support for extra revenue.

2) WIP

Compile WIP and distribute to sales / sales support.
Export report to excel and analyze data.
Prepare WIP report on excel and provide info to Commercial and Finance Managers.
Balance and reconcile original WIP to the next financial month.

3)Reporting

Prepare and supply management with monthly reports and as and when required.
Produce exception report by problem for actual material usage against estimated.
Discuss departments output with management and communicate key areas for improvement to employees.
Produce a costing analysis report on each machine and feed back to the production manager on a month-to-month basis.
Provide an overall material and labour percentage variance report, comparing the budgeted cost to the actual cost showing a profit or loss margin.
Print out “Work in Progress” report at the end of each month. Analyse and provide data to the financial department.

4)Nature & Scope of the position

To ensure that jobs are costed and invoiced in the same month.
Ensure that the actual material usage is equal to estimate material usage.
Provide feedback both ways (from staff to management and from management to staff)

Minimum Requirements

Matric
Tertiary Education in related field
Proficient in Microsoft Excel
2-3 Years Experience industry experience
